CareCard helps students and professionals understand, complete, manage, and validate the requirements needed for clinical placements and employment. It brings requirement guidance, document submission, status tracking, validation, and authorized sharing together in one secure service.

A Care Portfolio is a user’s complete CareCard Profile. It contains the information, credentials, validated documents, and other requirements needed for clinical placements, employment, and roles in health care and human services, including work involving close contact with or care for vulnerable populations.

CareCard serves individuals who create and manage Care Portfolios and organizations or other authorized individuals that view portfolios shared with them. Organizations may include educational institutions, placement organizations, and employers.

Users see the requirements that apply to a placement, program, or employment opportunity; upload documents as they receive them; follow each requirement’s status; and share their profile with authorized recipients. CareCard supports review and validation within that workflow.

No. Users can upload documents as they receive them. Their profile shows what is complete, missing, expiring, or needs attention so they can work through requirements over time.

Validation means a submitted document has been reviewed against the applicable CareCard requirement and its status has been recorded. It does not change the source document, replace the issuing authority, or remove a recipient organization’s responsibility to apply its own requirements.

Validated documents can be kept in the Care Portfolio and shared again when they remain current and meet the receiving organization’s requirements. A recipient may still require updated or additional information for a particular placement or job.

Users decide which educational institutions, placement organizations, employers, or other authorized individuals can access their CareCard Profile. Once a recipient receives information, that recipient remains responsible for handling it under its own legal and privacy obligations.

An authorized organization can view the Care Portfolio information shared with it to assess relevant placement, program, or employment requirements. Each organization remains responsible for determining its requirements and how it may lawfully use the information it receives.

Not necessarily. A Care Portfolio may contain personal health information and other personal information. Whether PHIPA applies depends on the information, purpose, custody or control, information flow, and legal roles involved.
