Verifying Requirements

How to review and decide on the documents students submit for their program requirements.

Once a student submits a requirement, it's your job to check the document and record a decision on the Verification page.

The Verification page

Select a student to open their requirement list on the left and, on the right, the documents they've attached to whichever requirement you select. Open any file full-screen to inspect it closely before deciding.

Each requirement shows one status: Not Started, Submitted (pending your review), Processing, Approved, Rejected, On Hold, Conditional, or Cancelled. Decision buttons only appear on requirements that are Submitted or On Hold — there's nothing to decide on the others yet.

Making a decision

  • Approve — a single button, no comment required.
  • Reject — opens a menu with three outcomes: Reject, On Hold, or Conditional Approval.

Choosing Reject, On Hold, or Conditional Approval opens a dialog titled with that outcome. You must enter a Comment explaining your decision before Submit becomes available — Cancel closes the dialog without saving anything.

Only Reject, On Hold, and Conditional Approval require a comment. Approve doesn't, since there's nothing for the student to act on. Write comments the student can actually use — what's wrong, and what to submit instead — since it's the only thing they see explaining your decision.

After you decide

Your decision, your name, and your comment appear back on the requirement as Reviewer Feedback — visible to the student the moment you submit it. If they need to resubmit, they'll cancel their submission, attach a new file, and send it back through, which returns the requirement to Submitted for your review again.

Good to know

  • You only see requirements for students in your own program.
  • A student's Certificate only becomes available to them once every one of their requirements shows Approved — so an item left on On Hold or Conditional blocks their certificate until you revisit it.
